June 2013 Unit Red Book Update (EPIC Update)

Please follow the instructions below to update your Unit Red Book.

1. Print and replace the  Table of Contents.

2. Print and replace your Emergency Preparedness and Response (EP&R) Guide.

NOTE: If your old EP&R guide was developed for the “Medical Center Complex” (look a the footer of the page), you will now be selecting one of the three EP&R Guides found under “University Hospital and Locations in Close Proximity.” If your location is not mentioned in parenthesis, contact Marc Winstead (JMW4U).

3. If your area was listed under “University Hospital and Locations in Close Proximity,” print a corresponding Emergency Response Sheet. These should posted by phones, HUC stations, and high traffic areas as a quick reference.

4. Area Specific Fire and Evacuation Plans. Fill out all areas that highlighted, most of this information can be found on the old Area Specific Fire/Evac Plans currently in your Unit Red Book.  With this update, these plans will become two independent documents, because events other than fire may precipitate an evacuation.  Both of these documents are in Word format so they can be tailored specifically for your area.

a)  Area Specific Fire Plan:

  • First select whether your area is an “Evacuation” or “Defend in Place” zone.
  • List the location of fire protection equipment.
  • Use the “Special Considerations” section to list any special or unique actions that your unit must take during a fire response.
  • Fire plans are required to have an attached floor plan marked with exit routes, fire extinguishers, pull stations and oxygen shut-off valves (if available in area).  You can use the floor plan attached to your old Fire/Evac Plan, and attached to your new plan.  If you need a new floor plan, please contact Mary Ann Thompson.  The plan will come unmarked, and you will add the markings.  This information is also described in the body of the fire plan.

b)  Area Specific Evacuation Plan: There are three different templates used for the Area Specific Evacuation plan, you will select one of these.

  • University Hospital Evacuation Plan
  • Business Occupancy – Patient Care Evacuation Plan
  • Business Occupancy – Non-Patient Care Evacuation Plan.

Certain buildings such as Emily Couric Clinical Cancer Center, Outpatient Surgery Center, and Operation Room require very detailed plans.  It is not necessary that these be changed to the new templates, however, contact Mary Ann Thompson and Nick Kell if you wish to update to the new templates.

  • List roles during an evacuation, this may be an individual or position (e.g. Shift Manager, HUC, etc.). There are extra spaces to accommodate additional roles.
  • Depending on your location, you may evacuate internally or externally list this location.  If you’re in the University Hospital or a location in close proximity, and are unsure where you would evacuate externally, use the map (pages 23-24) found in the Fire Prevention and Response Plan for a list of locations.
  • Use the “Special Considerations” section to list any special or unique actions that your unit must take during a fire response.
 

Please note that you need to review all area-specific plans annually.  This is a change from the previous 3-year review cycle.
