2. Tentatively arrange a date with the speaker. Tell speaker he/she will be receiving a letter from the Seminar Director containing details regarding travel and overnight accommodations. The host should obtain the following information from the speaker at this time:

1.Speaker's full name and Institution.

2 Title of seminar

3.Complete mailing address, email, telephone and FAX numbers.

4.Internet "URL" address for the speaker so we can link to his/her homepage.

5.One or two relevant references to place at the bottom of the seminar announcement.

3. Send email to  Howard Kutchai (hck4p@virginia.edu) containing the above information, and ask for confirmation of the seminar date.

4. Confirm date with speaker.

5. The host is responsible for taking care of the speaker during the visit, including meeting schedule and meals. The host is also responsible for obtaining the correct forms if the speaker is to be reimbursed with an honorarium. An I-9 and an honorarium form are available from the front office (Jordan 4-7). Be aware that payments to foreign nationals have a very strict set of rules and requirements, so please talk to us in advance.
