Creating & Editing Web Pages
New Page | Edit Page | Add Image | Add Document | Publish
First, determine if you are the webmaster for your department, division or group. If you are, then you already have access to the website. If you are not, and you have been asked to create new pages, update pages/documents, or create a new website, please contact the Web Development Center to arrange for training and access.

Below are details of how create, edit, insert images, documents and publish pages on the hospital web server.
Login via the web development toolkit login page.
- Go to the tab marked File Management. This lists all the files and folders that you are able to edit for your program. Decide where the new page has to be located. Is it on the parent set of pages or in one of the children folders.
- Under the tab Utilities (left-hand side) select New File. omplete numbers 1-3 on the Create New Page.
- Select the page layout by clicking a radio button on the left of the layout. Keep in mind that all the pages should have the same look and feel.
- Press Create when you have completed the page setup.
- To edit a page, simply highlight it by clicking on it once, and select Edit File.
- Enter the text as you wish to see it displayed, making changes to format as needed. You can also copy and paste from Word or Excel. Note that you may have to change font size as 12 point is the default for the web program. If your text has turned bold, just select the text and press B to remove the bold.
- If you find that you've made a mistake or just don't like the way it looks, you have the option of exiting the editor by Close without Saving. This just reverts back to the previous version much like a Word or Excel document that you choose not to save. If everything looks OK, then Save and Close.
- Publish the edited pages.
When adding images or graphics to your page, keep in mind the end user. If your image is heavy (50MB) for example, it could take the user a long time to download your page especially if they have a dial-up connection. Endeavor to resize the images or graphic prior to uploading it without compromising the effect using one of the photo editing software packages.
- If you have photos or graphics that you want to import into the Image Library select Image Library from the tabs on your main page. At the bottom of the page you will see five tabs, select Upload New Image File. Go to the location of the photo or graphic using the Browse button. Once your image is selected click on Upload New File. Note, you can only upload one image at a time.
- To insert a photo or graphic select the location of where you want the image to be positioned with your cursor then click the yellow picture icon at the top of your page, this will bring you to the picture library. Scroll down the list until you come to the one you need. Highlight it, and it appears as a thumbnail in the bottom left corner. You are able to create your own sizing as well as choose whether it will be aligned left, right or centered.
- Select Insert Image, and it will be placed in the location where you placed your cursor. To move the image, simply click on it to make it active and drag. If you need to resize the image, either pull or push at the edges. I suggest saving your page as you go along. This also gives you the opportunity to see how the page will look to the end user.
- Hit the Back button at the top of your browser to return to edit mode.
Adding a Word, Excel or PDF Document
As noted above, always keep your end user in mind when adding documents.
- Firstly, either rename the current document that is in File Maintenance (in case you need it for historical purposes) or delete it. Set of icons on the left will allow you to perform either function.
- Locate the original document and make your changes.
- File Maintenance, click on Upload. A small screen will appear at the top. Using Browse find the file that you edited or want to upload. Add a File Title. On the left you have a dropdown menu called Folder. The default is the parent folder which is denoted with just a slash ( / ). If you want the file located in the parent, click the Upload button. If you want the file to go into one of the children folders, select the child folder from the list, and click on Upload.
- To create a link to the document on a web page.
- Open the web page you want the document to be retrievable.
- The best way is to link it to a particular word or phrase on the page.
- Highlight the phrase or word. In the toolbar you will see two chain symbols - the left one is create the link, the right is to break the link. Click on the left link to create. If they are grayed out, it means that you have not highlighted a word.
- From the box that will appear you want to populate the line that says link URL. To do that, use the dropdown list called link list which has all the documents that are available in File Maintenance. Select the one you want. Click insert and the link will be created.
- Save and Close the web page, so you may test it before you publish. Click on the link like any other user, select Open and the document should open up.
- When you are ready to publish, don't forget that you are not only publishing the page but also the document(s) that are associated. Make sure that you have checked all the boxes that apply.
Publishing the New or Edited Page
- Once you have made your changes and are satisfied with the finished result go to your toolkit development page and select Publishing from the tabs above. Go down the list and check off the page(s) that you wish to publish. If you have new images or documents, make sure that you do the same thing, as there isn't an automatic link that takes everything in a page with it.
- Once you've selected everything to be published, select the Publish button at the top left. This will move the pages from the staging area (aka development server) to the live server.
- Do a sanity check on your browser by clicking the Refresh button so that the cache is cleared and you are viewing the updated page.
Tips - The web development guide is very helpful and user-friendly. It can be found together with lots of information on the main homepage once you've logged in.
