OVERVIEW: The Informatics Core has developed a series of web pages that will allow GCRC investigators to submit protocol recruitment advertising information online that can be used for recruiting volunteers for GCRC based protocols.
The "Protocols" link at the top and bottom of this web page will take you to the primary web page for protocols, advertising and recruitment information.

Step 1: Write your advertising recruitment text and submit it to the HIC for approval.
You must have HIC approval before you type advertising information into the GCRC web site.
Step 2: You will use your hospital username and password to access the Investigator / Study Coordinator web pages. However, before you can access the advertising area your ID must be added to the GCRC security database. Call 982-1085 to speak to the GCRC Informatics Core system manager if you have questions about this or need to request that your ID be added to our database.
Step 3: Get your advertisement online. Once you have HIC approval for your recruitment text click on the link “GCRC Investigator Form to Advertise for Volunteers.”
Fill out this form, which must be done in one sitting , as there is no way to save and reopen your information. So be sure to plan ahead and have all relevant protocol advertising information on hand. When the form is complete click on the “Submit When Complete” button, at the bottom of the form. The information is automatically sent to a database on the web server and immediately becomes available to the general public for viewing.
To make corrections to your advertising information send an eMail with the corrections to
gcrc-infocore@virginia.edu.
To remove your advertisement from the GCRC web site send an eMail to
gcrc-infocore@virginia.edu. Be sure to include the GCRC protocol number and HIC number in your eMail.
Step 4: If you would like to do alternative advertising beyond the GCRC web site (e.g. the Daily Progress) and would like to include a reference to the GCRC web site in your advertisement - use the following web link: http://gcrc.med.virginia.edu
Viewing Protocols: There are several options for viewing GCRC protocols being advertised. (1) All; (2) Females; (3) Males; (4) In-Patient; and (5) Out-Patient.
Volunteering for a Protocol: There are two forms that potential volunteers can fill out.
(1) Research Studies Enrolling Patient Oriented Volunteers
(2) Research Studies Enrolling Healthy Volunteers
Form #1, for a specific patient oriented research study, is designed to send the volunteer information, via eMail, directly to an HIC approved study coordinator. The patient oriented volunteer information from Form #1 includes some sensitive medical information. Because of this, it has NOT been approved by the HIC for general database storage or for sharing the patient oriented volunteer information with other investigators. In addition, the UVa General Counsel requires that this patient oriented volunteer information must be destroyed for those volunteers who are rejected for the specific protocol of interest. It is, therefore, incumbent on the investigator or study coordinator to insure that this eMail volunteer information be deleted for those volunteers who are rejected for the specific protocol being applying for. Do not share this volunteer information with other investigators.
Form #2, for healthy volunteers, is designed to send the volunteer information either directly to a database or to a specific study coordinator. If a healthy volunteer is applying for a specific protocol their data is sent via eMail to a specific study coordinator and is not stored in the general volunteers database. The data collected by this form has no sensitive medical information and therefore has been approved by the HIC for general database storage, review and searching online by all GCRC investigators.
